How to scan a document with your phone and save it as a PDF

An office, a bank or your employer asks for a “scan” of a document, and there is no scanner at home. Your phone is perfectly good enough, as long as you take the photo carefully and process it well.

A photo is not a scan yet

An ordinary photo of a sheet of paper has several flaws: the page is skewed and the desk shows underneath, the colours are warm or grey, and there is a shadow of your hand or phone on the paper. Sent like that, a document looks unprofessional and can be hard to read. A document scanner turns such a photo into something that looks like a real scan: it crops the page, straightens the perspective, whitens the background and strengthens the text.

How to scan a document in PDFowo

  1. Open the Document scanner on your phone and tap “Take a photo with the camera”, or choose existing photos from your gallery or drive.
  2. The program detects the edges of the page by itself. If a corner is off, drag it with your finger to the corner of the document.
  3. Choose a filter: “Document (colour)” for stamps and signatures in colour, “Greyscale” for ordinary letters, “Black and white” for text that should be as crisp as possible.
  4. Add more pages, set their order and finally tap “Download PDF”.

The photos are processed in your phone’s browser. They are not uploaded to any server, so you can safely scan your ID card, a contract or a medical certificate.

How to take a good photo of a document

  • A contrasting background: put a light page on a dark desk or the other way round. That makes it easier for the program to find the edges.
  • Even light: diffused daylight is best. Avoid the flash, which causes glare, and don’t cast a shadow on the page.
  • The whole page in the frame: leave a little background around it. A cut-off corner is hard to recover later.
  • The phone above the page: hold it as parallel to the document as you can. The program straightens the perspective, but less skew means sharper text.
  • Focus: tap the screen where the text is so the camera focuses on it, and keep your hand still when taking the photo.

When a phone scan is good enough

For most everyday matters, such as sending a signed contract, a certificate or an invoice, a well-made phone scan is accepted just like one from a scanner. If an institution requires a specific resolution or format, check beforehand. A PDF from PDFowo has A4 pages and clear text, and its size usually lets you e-mail it without compression.

Example: a contract of several pages

You need to sign and return a three-page contract. Print it, sign it, put each page on a dark desk and take three photos. Add them to the scanner one by one: if a page lands in the wrong place, move it with the “Earlier” and “Later” buttons. Choose the “Document (colour)” filter so a blue signature stays blue, and download a single PDF. If needed, you can then redact data the recipient doesn’t need to see in the PDFowo editor.

Frequently asked questions

Does the scanner work on iPhone and Android?

Yes. It runs in the phone’s browser, with no app to install. The “Take a photo with the camera” button opens the phone camera.

Are my photos uploaded anywhere?

No. Page detection, straightening and PDF creation happen in your browser. The photos never leave your phone.

What if the program detected the page wrongly?

Drag the corners to the corners of the document or tap “Whole photo”. Taking the photo on a contrasting background works best.

How many pages can I scan into one PDF?

Up to 50 pages at a time. You can change the order and delete an unwanted page before downloading.
