How to convert a PDF to Word, Excel and other formats

You have received a PDF that needs correcting, recalculating or putting into a presentation. Converting it to an editable format helps, as long as you know its limits.

Why conversion is never perfect

A PDF describes how a page looks: where every piece of text, line and image sits. Word, Excel and PowerPoint, on the other hand, describe structure: paragraphs, tables, slides. So the converter has to guess the structure from the position of the elements. Plain text and tables with clear lines convert well, while complex layouts (several columns, frames, graphics with text inside) often need manual corrections after conversion.

Which format to choose

  • Word (DOCX): for texts, letters, contracts and reports. The best option when you want to change the content.
  • Excel (XLSX): for tables and figures. Works best for documents where the data is arranged in clear columns.
  • PowerPoint (PPTX): when pages should become slides that keep their look.
  • JPG and PNG: every page as an image. JPG is smaller; PNG keeps full quality and sharp text edges.
  • File to PDF: the other way round, you can convert Word, Excel and PowerPoint documents, images and text files to PDF.

How to convert in PDFowo

  1. Choose the right conversion, e.g. PDF to Word.
  2. Add the file and start the conversion. Everything happens in the browser, so the documents are not uploaded to a server.
  3. Download the result and check it straight away in your office program.

What to do with a scan

A scanned PDF contains only images of the pages, so the converter has no text to transfer. Before you start, run text recognition (OCR) in the PDFowo editor, or use conversion to images if you only need pictures. Always read the OCR result: numbers, proper names and accented letters in particular may be misread.

How to improve the conversion result

  • Check the fonts: if the document used a rare font, the program will replace it.
  • In Excel, check that numbers haven’t been stored as text – otherwise they won’t add up.
  • Look through the page breaks and headers, because converters tend to “lose” them.
  • If you can, ask the author for the source file. That is always better than converting.

Example: a PDF cost report for bookkeeping in Excel

You have received a cost summary as a PDF, and the accounts department needs the data in a spreadsheet. Converting to Excel turns the table into cells, but always check the result: make sure numbers weren’t stored as text, that columns didn’t merge and that the totals match the original. A good habit is to compare the final total in the spreadsheet with the value in the PDF. If the table spans several pages, make sure no row was skipped at the page breaks.

Frequently asked questions

Why does the table in Excel look different from the PDF?

PDF describes appearance, not structure. The converter guesses where the columns and rows are, so complex tables (merged cells, no lines) may need manual corrections.

How do I convert Word to PDF?

Use the Convert to PDF tool: it supports Word, Excel and PowerPoint documents, images and text files.

Will a scanned PDF turn into an editable document?

The text has to be recognised first (OCR), because a scan is an image. After OCR the text can be edited, but always read the result.

Are the files uploaded to a server during conversion?

No. Conversions run in the browser. The browser only downloads the libraries the tools need to work.
